We have the room from 8.00am to 5.30pm

I would expect at 8am the setting up of hardware can begin.
The actual tournament start would be later on in the morning I guess.

I'll be there, ready to start setting up as soon as we get access to the room, with a view to starting as soon as everyone arrives.
